Kayshots provides video filming and editing services for brands, businesses, events and individuals.

Kayshots currently works UK-wide and provides filming on location, usable raw footage and optional editing services.

These Terms of Service apply to services provided by Kayshots unless different terms have been agreed in writing for a specific project.

Filming and editing are separate services. Filming can be booked without purchasing an editing package. Editing can be added separately using footage captured during the project.

The exact services, deliverables and requirements for a project will be agreed before the booking is confirmed.

Kayshots pricing is generally provided as starting-from pricing because every project can have different requirements.

The final price may vary depending on length, complexity, number of deliverables, creative requirements, turnaround requirements, additional services, and travel.

A quote or agreed project price will take priority over general starting prices for that project.

A booking is not considered secured until Kayshots has confirmed the booking and the required deposit has been received.

A 40% deposit is required to secure the booking date unless otherwise agreed in writing. Bookings should normally be confirmed and the required deposit received at least 48 hours before the scheduled booking.

Shorter-notice bookings may be accepted at Kayshots' discretion, subject to availability.

Project details, filming date, location, scope and payment arrangements should be confirmed before the shoot.

Submitting an enquiry does not automatically create a booking. Availability shown on the website is an indication of current availability and does not itself constitute a confirmed booking.

A 40% deposit is required to secure the booking and should normally be received at least 48 hours before the scheduled booking.

The remaining balance will be payable according to the payment terms agreed for the individual project.

Kayshots may withhold final edited deliverables until the agreed balance has been paid in full.

If additional work is requested outside the agreed scope, Kayshots may provide an additional quote before carrying out that work.

Filming is charged at £28 per hour starting from. The standard minimum booking is 3 hours. Shorter bookings may be considered depending on the project, location and availability. The final filming charge depends on the agreed filming duration.

• Raw footage delivery

Kayshots will use reasonable care and skill when carrying out filming.

Filming locations, schedules, access requirements and other practical arrangements should be agreed before the shoot. Clients are responsible for ensuring Kayshots has reasonable access to the agreed filming location and that any permissions they are responsible for have been obtained.

Clients receive the usable footage captured during their shoot when raw footage delivery is included or agreed.

"Usable footage" does not necessarily mean every file recorded during filming. Kayshots may exclude footage that is technically unusable, corrupted, accidental, severely duplicated or otherwise unsuitable for delivery. Kayshots does not guarantee that every original camera file will be supplied.

Raw footage is normally delivered within approximately 6–24 hours after the shoot. Delivery may be made through AirDrop, WhatsApp or WeTransfer depending on the project and file size.

Editing is charged separately from filming.

The standard editing package includes TWO finished edits:

Editing is available in:

• HD — from £40
• 4K — from £50
• 4K HDR — from £70

These are starting prices for the two-edit package. More involved projects may be quoted at a higher price depending on the requirements.

Clients can request additional edits beyond the two included in the standard editing package.

Additional edits may cost more depending on their length, complexity and requirements. Kayshots will confirm additional costs where appropriate before carrying out substantial additional work.

Two rounds of revisions are included with the editing package. Please note that the two revision rounds apply to the editing package as a whole, not automatically as two rounds for every individual edit.

A revision round allows the client to request reasonable changes to the agreed creative direction. Revisions are intended to refine the agreed edit.

Requests that substantially change the original brief, require a new creative direction, require significant restructuring or introduce additional deliverables may be treated as additional work and may incur an additional charge.

Additional revision rounds may also be charged separately.

Final edited videos will be delivered in the agreed format and resolution.

Available delivery formats may include: HD, 4K, or 4K HDR.

Delivery method may depend on file size and project requirements. Kayshots will communicate the expected delivery arrangement for the project.

4K HDR uses a high-dynamic-range finishing workflow designed for compatible displays and platforms.

HDR may appear differently depending on the device, application, platform or display being used. If a device or platform does not support HDR, the content may be displayed in SDR or appear different from the intended HDR presentation.

Kayshots works UK-wide.

Travel costs are charged separately and will be discussed and confirmed before the booking is secured.

A 40% deposit is required to secure the booking date.

If a client cancels less than 24 hours before the scheduled booking, the 40% deposit will not normally be refunded. Where appropriate, Kayshots may consider the circumstances of a cancellation or rescheduling request in a fair and proportionate manner.

If a client needs to reschedule, they should contact Kayshots as soon as possible. Any alternative date will depend on availability. If additional costs arise because of a rescheduling request, these will be discussed with the client beforehand.

Kayshots may also need to reschedule a booking in circumstances outside its reasonable control. In such circumstances, Kayshots will communicate with the client and seek a reasonable alternative arrangement.

The client is responsible for:

• Providing accurate project information
• Providing reasonable access to agreed filming locations
• Obtaining permissions or access rights that are their responsibility
• Providing any required brand assets or materials on time
• Making sure client-provided materials can legally be used
• Communicating important requirements before filming begins
• Providing feedback within a reasonable timeframe during editing

Delays caused by missing information, unavailable locations, late feedback or missing client materials may affect project timelines.

Where music, fonts, stock footage, images, graphics or other third-party materials are used, their availability and permitted use may depend on the relevant licence.

Kayshots will use appropriate materials based on the agreed project requirements. Clients must not assume that every third-party asset included in a finished video can be extracted and reused separately outside the agreed project without checking the relevant licence.

Where the client provides music, images, logos, footage or other materials, the client is responsible for ensuring they have the necessary rights or permissions for Kayshots to use them as requested.

Kayshots retains copyright in the original creative work unless copyright ownership is expressly assigned to the client in a separate written agreement.

After full payment has been received, the client receives a non-exclusive commercial licence to use the delivered final content for their own business, marketing and promotional purposes, unless different usage terms have been agreed in writing. The licence applies to the delivered content and does not transfer ownership of Kayshots' copyright.

Kayshots retains ownership of its project files, editing timelines, working files, presets, LUTs, editing systems, and other underlying production materials. These are not automatically supplied to the client.

Unless confidentiality or alternative usage terms have been agreed in writing, Kayshots may use completed work created for a client in its website, portfolio, Instagram, TikTok, showreel, social media, and other Kayshots promotional materials.

If a client requires a project to remain confidential or not be used publicly, this should be discussed before the project is agreed or as early as reasonably possible.

Where a client supplies photographs, video, logos, music, graphics, text or other materials, the client confirms that they have the necessary rights or permissions for Kayshots to use those materials for the agreed project.

The client remains responsible for third-party rights relating to materials they provide.

Project footage and working files are normally retained for up to one month after the final edit or clips have been delivered.

After this period, project files may be permanently deleted.

Clients who need files retained beyond this period should contact Kayshots before the retention period ends. Please note that this applies specifically to project footage and working files, not all personal information.

Kayshots will provide services with reasonable care and skill.

Kayshots is not responsible for delays, interruptions or failures caused by circumstances outside its reasonable control. Examples may include venue restrictions, weather, transport disruption, power or equipment failure outside reasonable control, client delays, access problems, third-party platform failures, government restrictions, or other events outside reasonable control.

Nothing in these terms should attempt to exclude or limit liability where doing so would not be permitted by law.

If circumstances outside Kayshots' reasonable control prevent the project from taking place or being completed as planned, Kayshots will communicate with the client and seek a reasonable alternative where possible.

Examples can include serious illness, extreme weather, venue closure, major transport disruption or other events outside reasonable control.

If a client has a concern about a project, they should contact Kayshots as soon as reasonably possible so the issue can be discussed and, where possible, resolved.

Kayshots may update these Terms of Service from time to time.

The version that applies to a particular project will generally be the version agreed or applicable when the project was booked, unless a later change is required by law or otherwise agreed with the client.

The current version will be published on the Kayshots website.

These terms are governed by the laws of England and Wales.

Any disputes will be subject to the applicable courts of England and Wales, subject to any mandatory consumer rights that apply.
